New items not searchable?

I've noticed before that if you add a new item to listal it will take some time until this item can be found via the "rearrange list" search function. There are still items not searchable that I added months ago. The only way to add them to lists is to search them with the main search function and add them from their own page, then drag them from the bottom of the list to their desired position. After some time the item will be searchable everywhere.

Is this a manual action like a data base update that needs to be implemented from time to time? It would be great if this could be done more regularly, in order to avoid duplicate entries. Because if you don't know this glitch it looks like these items aren't there yet.
